    Default Copy Edit Paste Debate

Hi everyone, I am currently creating Key cards for clients to access booths, The card is to be scanned by barcode, (this was the setup when I took Over) I know nothing about java code, But my business partner has assumed that you can read a barcode highlight copy paste it to notepad. Edit the text in the required fields such as name access code, Then paste the text in barcode creation software and create new barcode. However I cant see how this would work, I would think some how spaces or extra spaces or what have you, Would alter the data.
She was sure it would not. Now she has gone out of state and i am finding none of my clients barcodes are reading correctly when being scanned. I am sure there is no simple answer , But any insight on this or what I could maybe do to fix it would be much appreciated .

Is it possible to use a what I call template of the data and just change info as needed
